Adding and Importing Contacts

There are several different ways for you to add contacts to your various contact lists. In all cases, you need only a minimum of an email address, first name, and last name to create a contact. Any additional information can be added as desired.

New Contact

The new button, at the top left of the contact list pane, will bring up the new contact window. Here, all the information on a contact, from their basic contact information, to their Member Status, and any Custom contact information pages that might have been created.

Clicking submit will create the new contact, close the window and return to the contact list.

Import Contacts

In addition to the new button, there are three different methods for adding contacts, all of which are accessed by clicking the  Import Contacts button. Unlike the new button, these methods do not allow all the contact's information to be added at once, but do allow for faster contact importing.

One by One

The first available method available for adding multiple contacts under the Import Contacts button is adding contacts one by one. Useful for adding detailed information to a small number of contacts, it is not recommended for adding contacts in bulk.

Selecting Save and Continue will create a contact with the provided information and empty the fields for creating another contact.

Copy and Paste

The Copy and Paste option is intended for long lists of contacts which are not in an already formatted state, or in hardcopy. This option can handle thousands of contacts at once, taking their email addresses and then any other information, regardless of order, and converting them for use by MaketingShip services.

In addition to deciding which information to include with the email addresses, you can choose a delimiter, a checkmark to tell the system when one data field for a given contact ends and the next begins. Hitting enter to create a new line always begins a new contact.

Importing

The Import option is intended for the importing of a massive number of contacts in a single action, and can be performed on a .xsl file, .csv file, or other properly formatted databases files. The import method reads the database or spreadsheet file, reading every data field,

and assigns sorting values based on the information in each field.

Clicking the Set First Row as Field Name box will prevent the first row from being imported as a contact. Checking the Overwrite option will update the information of any contacts with the same email address as one you are importing, instead of ignoring

those contacts, useful for making edits to a massive number of contacts at once.

Choosing the right delimiter and noting what type, if any, of quotation marks were used when importing a formatted text file will ensure different data fields are properly recognized as such during the act of importing.

After importing, the contact information will be displayed as a series of columns, a sorting value visible for each column derived by the import tool. If the import tool has mislabeled a column, click the sorting value and select the correct label from the drop down field.

In all of the methods, saving and exiting will make the system use the information gathered to create new contacts, and then navigate to the contact list to display the newly created contacts.
